The United States Agency for International Development (USAID) has contracted through Social Solutions International to recruit and hire qualified individuals for the following position:



Assistant Travel Coordinator

United States Agency for International Development/ Bureau for Global 

Health/ Office of HIV/AIDS/Supply Chain for Health Division

The Assistant Travel Coordinator performs a variety of both complex and routine administrative and analytical duties. These duties range from administrative tasks such as maintaining files and travel databases, to more complex analytical tasks such as spreadsheet maintenance and travel budget tracking. The Assistant Travel Coordinator ranks tasks in order of importance and impending deadlines, and handles several tasks simultaneously.  The individual must develop a working knowledge of USAID policies and guidelines, as well as corporate practices and procedures.  To perform this job successfully, an individual must be able to perform each essential duty satisfactorily with a focus on excellent customer service and quality deliverables.   • Create accurate travel cost estimates (budgets) and other travel related documention in accordance with contract strandards for TDY authorization
  • Enter travel information and expenses into designated reimbursement system (Concur) for reimbursement
  • Notify employees of travel and expense report related information throughout the approval process
  • Maintains travel tracking spreadsheets, databases, and general travel mailbox
  • Maintain accurate records of all communications, travel approvals, and expenses reports
  • Serve as a general resource and point of contact. Provide guidance and answer inquires on travel policies and procedures to travelers and USAID POC
  • Acts as a liaison between the traveler and accounting office to resolve various travel related issues
  • Follow contract travel procedures, accounting guidelines and customer service standards in all areas of travel coordination
  • Assist Travel Manager with a wide range of administrative support
  • Other duties as assigned

Specific skill areas desired include:

  • Advanced computer skills in Microsoft Office: PowerPoint, Excel, Word and Access.
  • Experience with Concur Expense system
  • Ability to work independently and adjust to meet needs of demand driven office.
  • Ability to manage various responsibilities and work under tight deadlines. 
  • Ability to gather and compile data for reports and provide quality, error free products
  • Ability to communicate effectively verbally and in writing.
  • Attention to detail and excellent organization skills.
  • Sound judgment with the ability to assess the urgency and importance of situations on a case by case basis while applying required policies and procedures as well as routes of communication and team coordination.
  • Takes appropriate action ensuring that all schedules and deadlines are met.


The requirements listed below are representative of the knowledge, skill, and/or ability required:

  • The position requires a high school diploma with 5 years of office experience or a Bachelor’s Degree and 1 professional office experience.
  • Requires proficiency in the use of Microsoft Office, Internet and e-mail applications. Experience in the use of data base applications is recommended.
  • A USAID “Secret” security clearance is required.



Oral and written communications skills and the ability to read, analyze, and interpret general business periodicals.  Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. 



Ability to work with mathematical concepts such as probability and statistical inference, ability to apply concepts such as fractions, percentages, ratios, and proportions to reports and financial tracking systems. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.



Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
