Overview of the Position

Social Solutions International Inc. is seeking an Administrative/Logistics Assistant for a five-year USAID-funded grants management project in the Pacific Islands. This position is based in Suva.

Responsibilities

The Administrative/Logistics Assistant will support the administrative and logistical functions of the project, as detailed below:

  • Provide administrative support to project staff across all field offices
  • Serve as the office manager for the main project office in Suva, Fiji
  • Organize event logistics
  • Plan meetings with external stakeholders
  • Coordinate travel of field staff
  • Obtain information and quotes for procurement processes
  • Oversee the administration of program files and relevant documents, including the filing of documents, physically and electronically
  • Perform receptionist tasks as needed
  • Perform other logistical and administrative tasks within the program’s scope of activities, as instructed by management.

Qualifications

Candidates must be well organized, able to work independently, skilled at handling multiple tasks, able to meet deadlines and work in stressful situations. Other specific qualifications include:

  • Bachelor’s degree in relevant field required
  • Minimum three (3) years office experience; prior experience working for international organizations or donors preferred
  • Excellent oral & written communication skills
  • Strong computer skills, including (MS Office Suite)
  • Experience providing logistics and administrative support for USAID programs preferred
  • Strong interpersonal skills, ability to interact effectively with partners, donors, and other relevant stakeholders and personnel associated with this program
  • Highly detail-oriented; and
  • Professional proficiency in English required.
